1. Introduction

Master Invoice ("we," "our," or "us") is operated by Jason Cugley. This Privacy Policy explains how we collect, use, store, and protect your information when you use the Master Invoice mobile application and website (collectively, the "Service").

By using Master Invoice, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Account Information

When you create an account, we collect:

• Email address
• Password (encrypted, never stored in plain text)

Authentication is provided by Firebase Authentication using email and password sign-in. We do not currently use third-party social login providers (Google, Facebook, Apple Sign In, etc.).

Business Profile Information

You may optionally provide:

• Business name, address, phone number, and email
• License number
• Company logo
• Trade type
• Payment terms preferences
• Custom terms and conditions

Customer Information

When creating estimates, you may enter your customers' information:

• Customer name, address, phone number, and email

Important: You are responsible for ensuring you have the right to provide your customers' information and for informing your customers about how their data is used.

Estimate and Invoice Data

• Job descriptions and scope of work
• Pricing, discounts, and line items
• Job site photographs
• Estimate and invoice history
• Digital signature acceptance records

Usage Data

• Number of estimates created
• AI generation and editing activity
• Subscription plan status

3. How We Use Your Information

We use your information to:

• Provide and maintain the Service
• Generate AI-powered estimates using your job descriptions
• Store and organize your estimates and invoices
• Enable you to send estimates to your customers via email, text, or share links
• Track estimate views and digital signatures
• Process subscription payments
• Send you service-related notifications (follow-up reminders)
• Improve the Service

4. AI Processing

Master Invoice uses Google's Gemini AI to generate estimate content. When you create or edit an estimate:

• Your job description, trade type, and pricing are sent to Google's Gemini API through our secure server-side Cloud Functions
• Customer personal information is not sent to the AI
• Google processes this data according to their own privacy policy and terms of service
• AI-generated content is returned to the app and stored in your account

Our AI processing happens through Google Cloud Functions, where Gemini API access is mediated by authenticated server-side code. The AI provider's API credentials are never exposed to the client application.

5. Photo Uploads

When you upload job site photos or a business logo, the image files are stored in Firebase Storage with access controls restricting access to your account.

Photos may contain embedded metadata (such as timestamps, device information, or GPS coordinates) that is preserved when uploaded. You should only upload photos you are comfortable sharing with customers who view your estimates. We plan to add automatic metadata stripping in a future update.

We do not analyze or process the visual content of photos using AI.

6. Data Storage and Security

Your data is stored using Google Firebase, which provides:

• Encrypted data transmission (HTTPS/TLS)
• Secure authentication with email verification
• Firestore database with security rules restricting access to your own data
• Firebase Storage for photos and logos with access controls

All sensitive operations (AI generation, account deletion, subscription management) happen through authenticated server-side Cloud Functions that verify your identity before processing requests.

We implement reasonable security measures to protect your information. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

• With your customers: When you send an estimate or invoice, the recipient sees the estimate content, your business profile, and their own information as entered by you.
• Service providers: We use Google Firebase (hosting, database, authentication, storage, cloud functions), Google Gemini (AI generation, via secure server-side calls), RevenueCat (subscription management), Apple App Store and Google Play Store (payment processing), and Formspree (website contact form submissions).
• Legal requirements: If required by law, regulation, or valid legal process.

8. Email and SMS

Master Invoice uses your device's native email and SMS apps to send estimates. We do not operate email or SMS servers. Messages are sent directly from your device using your own email account and phone number. We do not have access to or store copies of sent messages.

9. Subscription Information

Master Invoice offers paid subscription tiers (Starter, Pro, Unlimited) with monthly billing. Subscriptions are managed through the Apple App Store or Google Play Store and renew automatically until canceled.

To cancel a subscription:

• iOS: Settings → Apple ID → Subscriptions → Master Invoice → Cancel
• Android: Google Play Store → Subscriptions → Master Invoice → Cancel

We do not store your payment information. All payments are processed by Apple App Store or Google Play Store. Subscription status is synchronized to your account via RevenueCat, our subscription management provider.

10. Your Rights

You have the right to:

• Access your data through the app at any time
• Update your profile and business information
• Delete individual estimates and invoices
• Permanently delete your account and all associated data through the app: Settings → Danger Zone → Delete Account
• Export all your estimates as a CSV file: Settings → Your Data → Export All Data

11. Data Retention

We retain your data for as long as your account is active.

If you delete your account through the in-app Delete Account flow, we permanently delete all your personal data immediately, including:

• Your account and authentication credentials
• All estimates, invoices, and customer information you've entered
• All uploaded photos and your business logo
• Your usage history and subscription records

Note: After account deletion, any active subscription continues until its current billing period ends. To avoid future charges, also cancel your subscription through the App Store or Google Play settings before deleting your account.

If you cancel your subscription but keep your account, we retain your data based on your tier:

• Free: 30 days from inactivity
• Starter: 90 days
• Pro: 1 year
• Unlimited: Indefinitely

12. Children's Privacy

Master Invoice is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy in the app or on our website. Your continued use of the Service after changes constitutes acceptance of the updated policy.
